Client Care Coordinator

Position Overview

Momentum Counseling and Consulting (MCC) is seeking a warm, organized, and client-focused Client Care Coordinator to support a seamless experience from a client’s first contact through ongoing care. This role is central to ensuring clients feel supported, informed, and cared for throughout their treatment journey.

The Client Care Coordinator serves as a primary point of contact for clients and plays a key role in scheduling, intake coordination, and day-to-day operational support. This position requires strong communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, client-facing environment. The ideal candidate is compassionate, confident in communication, highly organized, and energized by helping clients access care smoothly and efficiently.

Compensation & Schedule

This role is a full-time non-exempt position working 40 hours per week. The typical working hours are Monday-Friday with several schedule options to choose from. Occasional evening or weekend hours and overtime may be required to meet operational needs.

Schedule Options: 8am-4pm, 9am-5pm, 10am-6pm, 12pm-8pm

The pay for this position is $20/hour. Benefits include PTO, health benefits, retirement plans, tuition discounts/education partnerships, and referral bonuses. 

This role may include in-person and hybrid work opportunities depending on location and operational needs.


What You’ll Do

Client Communication & Scheduling

  • Serve as the primary point of contact for client inquiries via phone, email, and internal systems
  • Schedule, confirm, reschedule, and cancel client appointments
  • Maintain accurate client information in scheduling and clinical systems
  • Provide clear, compassionate communication about services and next steps

Intake & Care Coordination

  • Support new client intake and onboarding processes
  • Guide clients through forms, consents, and initial scheduling steps
  • Coordinate with clinicians to support timely access to care
  • Follow up with clients to ensure smooth entry into services

Billing & Insurance Support

  • Assist with basic billing and insurance-related client questions
  • Support accurate entry of client and insurance information

Professionalism & Culture

  • Uphold MCC standards for confidentiality, professionalism, and HIPAA compliance
  • Maintain warm, respectful, and client-centered communication at all times
  • Adapt to shifting priorities in a fast-paced environment

Required Qualifications

  • Bachelor’s degree in psychology, human services, social work, counseling, human development, or related field preferred
  • Strong communication and interpersonal skills
  • High attention to detail and organizational ability
  • Ability to manage multiple priorities in a fast-paced environment
  • Professional, compassionate, and client-centered communication style
  • Proficiency with Google Workspace and willingness to learn new systems
  • Commitment to confidentiality and ethical standards

Preferred Experience

  • Experience in healthcare, behavioral health, or client-facing customer service roles
  • Scheduling, intake coordination, or administrative support experience
  • Familiarity with HIPAA or confidentiality-based environments
  • Sales or client engagement experience strongly preferred
