Medication Management Coordinator

Position Summary

The Medication Management Coordinator plays a key role in supporting medication access and daily administrative operations at Momentum Counseling and Consulting (MCC). This position focuses on prescription prior authorizations, pharmacy coordination, insurance verification, and essential administrative support to ensure continuity of care for clients and providers.

The ideal candidate is detail-oriented, organized, and professional, with strong communication skills and the ability to manage multiple administrative processes efficiently. This role requires close collaboration with clinicians, pharmacies, and insurance providers, along with general operational support across the organization.


Key Responsibilities

Prescription Pre-Authorization & Pharmacy Coordination

  • Gather accurate patient, medication, and insurance information.
  • Verify insurance coverage, formulary requirements, and prior-authorization criteria.
  • Complete and submit prior-authorization requests through insurer portals, EHR systems, or fax, including required clinical documentation.
  • Track pending authorizations and follow up with insurance companies, pharmacies, and prescribing providers.
  • Respond to requests for additional information and communicate authorization outcomes to clients, clinicians, and pharmacies.
  • Maintain accurate, timely, and compliant documentation related to medication authorizations.

Operations & Administrative Support

  • Provide general administrative support to ensure smooth daily operations across departments.
  • Assist with client intake processes, including collecting required documentation and maintaining accurate records.
  • Support appointment scheduling, confirmations, cancellations, and rescheduling as needed.
  • Maintain and organize internal documents, operational systems, and compliance-related materials.
  • Communicate clearly and professionally with clients, clinicians, pharmacies, and internal staff.
  • Assist with onboarding processes and tracking internal documentation.
  • Attend staff meetings, complete follow-up tasks, and support special projects as assigned by leadership.
  • Contribute to a collaborative, organized, and solution-focused team environment.

Billing & Insurance Support

  • Assist with general billing and insurance-related inquiries.
  • Support accurate data entry and processing of insurance and billing information.

Professionalism & Compliance

  • Uphold MCC standards for client service, confidentiality, and HIPAA compliance.
  • Maintain professional communication and conduct with clients and colleagues.
  • Demonstrate adaptability, initiative, and accountability in a fast-paced administrative environment.
  • Participate in ongoing training and performance feedback processes.

Qualifications

  • Bachelor’s degree in psychology, human services, social work, sociology, counseling, human development, family studies, or a related field preferred, but not required.
  • Strong organizational skills and attention to detail.
  • Effective written and verbal communication skills.
  • Proficiency in Google Workspace and willingness to learn internal systems.
  • Ability to multitask, prioritize, and meet deadlines.
  • Professional, compassionate, and client-centered approach.
  • Commitment to confidentiality, ethical standards, and respectful workplace conduct.

Knowledge & Skills

  • Familiarity with HIPAA compliance and healthcare privacy standards.
  • Understanding of insurance processes, prior authorizations, and documentation workflows.
  • Strong problem-solving and follow-through skills.
  • Ability to manage administrative tasks related to scheduling, documentation, data tracking, and communication.
  • Positive attitude, openness to feedback, and commitment to growth.

Working Conditions

  • Full-time position, Monday–Friday.
  • In-person office environment with regular interaction with clients and staff.
  • Requires extended periods of sitting and computer use.
